You’ll have clear visibility into your onboarding progress with Sun Life benefits through the different phases that show in your onboarding timeline.
Depending on where you are in the process of onboarding your new benefits with Sun Life, you’ll be in one of six phases in Sun Life Onboard:
At any given point, the current phase will be highlighted, and you can see the order and all upcoming phases at the top of your Sun Life Onboard dashboard. You may also receive emails notifying you when you reach certain milestones in your timeline.
Welcome
We’ll get started by understanding your unique situation – this could include your enrollment event, enrollment resources, or technology goals. This helps Sun Life customize the rest of the process to your needs. Sun Life will also prepare your required forms and will notify you when they’re ready.
Info Gathering
In this phase, you’ll complete required forms to help Sun Life understand your plan details, billing preferences, and contract options. You’ll also provide prior carrier documentation and a census of employee benefit elections.
Sun Life can provide consultative support on completing any of these tasks during and after your kickoff call.
Review & Validate
In this phase, Sun Life will review all the information you provided during the previous Info Gathering phase, and work with you if any clarifications are needed. This ensures that all your employees will have the exact coverage they expect.
The estimated time for this phase is between 5-6 business days
- Please note: The estimated time for this phase may increase during the peak enrollment season (Mid-November through the end of January)
Once this review is complete, Sun Life should have everything needed to finalize and approve your plans.
Plan Approval
In this phase, Sun Life will work to approve and finalize your plans. You will be notified when this is completed. At this time, you’ll want to make sure coverage with prior carriers has been cancelled if needed.
The estimated time for this phase is between 3-5 business days
- Please note: The estimated time for this phase may increase during the peak enrollment season (Mid-November through the end of January)
Contracts & Billing
In this phase, Sun Life will finalize contracts and your billing set-up. Once these are ready, you’ll be able to schedule an Ongoing Service Call to meet with your Client Service team.
The estimated time for this phase is between 4-6 business days
- Please note: The estimated time for this phase may increase during the peak enrollment season (Mid-November through the end of January)
Onboarding Complete
Congratulations! Once you reach Onboarding Complete, that means your benefits are now effective, and employees may begin using their coverage as of your effective date.
At this time, you can transition from Sun Life Onboard and should begin using Sun Life Connect to manage your account, employees, claims, and more ongoing.
Timeline Reminders
If you have certain tasks that haven’t been completed as you get closer to your policy effective date, you may see your timeline phases highlighted in red or yellow.
What does this mean for you?
If a policy is 30 or more days away from its effective date or your required tasks have been completed, the timeline will display with a standard blue. Otherwise, you may see the following:
- Don't wait: The timeline will display in yellow if a policy is 20-30 days from its effective date and one or more required tasks have not been completed.
- Take action now: The timeline will display in red if a policy is within 20 days of its effective date and one or more required tasks have not been completed.
