Sun Life has introduced an easier and more automated way to ensure the accuracy of initial employee census information for your new Clients with less than 2000 lives that use Onboard to set up their benefits.

Real-time census validation in Onboard
During new Client onboarding, when census information is uploaded using the Sun Life provided template, Onboard can now review that file in real-time to validate it for missing information or incorrect data formats.
The census validation capability will help you and your Clients:
- Increase the accuracy of employee data upfront (with less effort!)
- Reduce the time it takes to double check for missing information
- Streamline the back-and-forth between you, your Client, and Sun Life
Note: Due to the different information that is captured for Maxwell Health implementations, the census validation feature is not available for Clients setting up Maxwell Health alongside their Sun Life benefits.
What to expect with the census validation flow
As you work in Onboard to get your Clients' benefits set up, you'll be encouraged to use Sun Life’s custom template file for uploading enrollment election information. To get started, download the custom template file linked in Onboard. When you're ready, you'll select Upload Files.
- You'll see step-by-step guidance and we'll capture a little bit more detail about the type of file(s) you or your Clients choose to upload. If you are using Sun Life's census template file format, you'll be able to take advantage of the real-time validation available in Onboard to identify missing information and incorrect data formats.
- The real-time validation within Onboard can identify fields or columns with missing information or incorrect data formats. Onboard will then generate a quick summary of any errors that need to be corrected or items flagged with a warning that you may want to review.
Note: Validating benefits data (other than missing or improperly formatted data) is not currently supported with census validation through Onboard.
- You and your Clients then have the option to revisit your data and correct the census spreadsheet. You can upload a revised census to replace and check your data again. When your file looks good, you can submit it in Onboard for your Implementation Consultant to review.
Note: If there are errors or warnings you cannot correct or have questions on, you are able to submit your census in Onboard with errors and we will accept that version. However, please note that submitting your census with errors may delay the processing and your Implementation Consultant may have additional questions.
Things to keep in mind
Currently the census validation workflow will only be available to those Clients who upload their employee enrollment election information using the Sun Life provided census template file format (.xlsm).
- If you or your Client use a different file format than what Sun Life has suggested, you'll simply upload the file(s) into Onboard and your Implementation Consultant can review.
- While the census validation will be available when using Sun Life census template formats, and we encourage you and your Clients to review your data, you are not required to make any changes to your census file before submitting to the Sun Life team.
- If you or your Client leave a whole required column blank or the whole column has incorrect information across all employees, Onboard will show an item for each individual employee row and cell in the file. In this case, simply update the column to remove any errors or warnings.
